Software Selection

How to select the right software for your company? Emixa helps you meet needs of your organisation instead flashy product demo’s through doing a smart selection process.

Optimising software selection - the short list

What steps do we take?

We follow a structured step-by-step plan and always go through the software selection process together with your team. This ensures the software is a good fit for your organisation’s situation. Moreover, involving your team internally helps with the acceptance of the chosen system within your organisation.

Emixa has extensive experience in software selections for various applications such as e-commerce, ERP, CRM, PLM, and reporting solutions. We look beyond flashy product demos and help you make the right choices.

1
The ‘Long List’

We start the process with a Long List of possible solutions, based on market analysis, our experience, and input from your organisation. It’s also common that you might already be using a software package and want to know if it’s still suitable for the future. In that case, we include it as one of the alternatives.

2
The ‘Short List’

To get a better understanding of which selection criteria matter most, we conduct interviews with stakeholders and organise a workshop to make joint decisions. What are the real ‘knock-out’ criteria? If a solution or supplier doesn’t meet those, it’s excluded from the selection process as soon as possible. This leaves us with a shortlist of software packages that do meet your requirements.

3
Request for Proposal

We issue a quotation request to this shortlist. We ask them for a Request for Proposal, in which the supplier responds to specific questions about the software. This way, we gather evidence of relevant and specific functionalities. Often, one or two suitable candidates remain.

4
Proof-of-Concept

We can then also carry out a Proof-of-Concept: a trial run of the software within your organisation. Through a use case, it’s demonstrated how exactly the software will work in your organisation’s environment and with your company’s data.

5
Crunch time

Now, you’re ready to make a solid decision. Of course, we are also available to guide the implementation phase.

FAQ's

Why is a software selection process important?

A: Selecting the right software is a crucial step for many organisations. A well-considered choice helps you to work with the most suitable systems at the best price. Due to the overwhelming number of software solutions and suppliers, this selection process can be complex and time-consuming. Emixa helps you see the wood for the trees and reach a better decision more quickly.

Why choose Emixa?

A: Our management consultants have extensive experience with these types of processes. This enables us to quickly identify exactly what’s needed in your situation. Because we know the market well, we can critically review both the stated requirements and the suppliers’ proposals. We look beyond flashy product demos and focus on formulating and assessing practical use cases — which is what your organisation will benefit from most.

How long does a selection process typically take?

A: That depends on the complexity of the situation. A new ERP system, for example, affects nearly the entire organisation and requires more time to gather and assess all requirements and alternatives. For a more specialised type of software, it can go faster. On average, such a process — from creating a longlist to making a final choice — takes around 2 to 4 months.

Do you work with specific software suppliers?

A: Emixa is an official partner of SAP, Siemens, Mendix, and Boomi. That means we know these packages inside and out: their strengths and their limitations. During a software selection process, however, we always take an independent position. We aim to find the best package for your specific situation, and we often end up recommending other software solutions too.
